A distinction must be made between the following situations

 

You are a clinical department that collects and stores (or has a partner lab store) HBM samples for research purposes:

HBM samples collected on or after November 1, 2018 must be registered with BHUL; it is advisable that HBM samples collected before this date are also registered.

You are a research lab that does not collect HBM but uses it for research:

  1. The HBM samples you have in your freezers were all collected before November 1, 2018: they do not need to be registered with BHUL.
  2. HBM samples taken on or after November 1, 2018 must be registered :
  • at BHUL if they are HBM obtained from BHUL, CHU or ULiège; it is advisable that HBM samples from the same collection but taken before this date should also be registered.
  • to the biobank of origin if they come from another source.

Special case of HBM collected as part of a clinical trial in which the University Hospital is participating

  1. The sponsor is external to the University Hospital (pharmaceutical company, academic group, other hospital, etc.)

- HBM samples are sent to the sponsor (or to one of the sponsor's partner laboratories) without being temporarily stored at BHUL for more than 24 hours: they do not need to be registered at BHUL

- HBM samples are temporarily stored at BHUL for more than 24H: they must be registered at BHUL, whether they were taken before or after November 1, 2018.

2. The sponsor is CHU,  HBM samples must be registered with BHUL, regardless of whether they were collected before or after November 1st 2018.

If you are in a position to need to register existing HBM samples with BHUL, please contact Stéphanie Gofflot (stephanie.gofflot@chuliege.be), BHUL Director, to define the best way to proceed. In any case, it will be necessary to :

  • complete an application form to set up a HBM collection (available on the BHUL website biotheque.uliege.be) and provide the documents required to support the application (EC agreement, etc.);
  • complete an Excel file to enable data transfer; this will be prepared by Stéphanie Gofflot
